Online booking for a service business
How we would replace phone-and-diary scheduling with online booking, calendar sync, deposits and automatic reminders.
A look at how Grocito approaches setting up online booking for a service business: the usual challenge, our approach and what to expect.
Challenge
Clinics, salons, consultants and field-service teams often take bookings by phone or message and keep the diary on paper or in a shared calendar. Double bookings happen, no-shows leave gaps, and staff spend part of every day confirming times. Customers expect to see availability and book when it suits them, often outside opening hours.
Our approach
We begin by mapping how the business actually schedules work: services and their lengths, which staff or resources are needed, buffers between appointments, cancellation rules and how payment is handled.
- Real-time availability. Customers see only slots that are genuinely free, based on staff schedules, resources and existing bookings.
- Calendar sync. Two-way sync with Google and Outlook calendars, so staff keep working in the tools they already use.
- Deposits and online payments. Optional deposits or full payment at booking to reduce no-shows, using payment providers suited to the business's market.
- Reminders. Automatic SMS, WhatsApp and email reminders, with simple reschedule and cancel links.
- Staff and resources. Working hours, leave, rooms or equipment modelled so the system respects real constraints.
- Embeddable booking widget. Booking from the company's website or social profiles without sending customers elsewhere.
- Rollout. Import of existing customers, a trial with one location or team, then the full launch.
Solution
The result is our Service Booking & Appointment Engine, configured to the business's services and rules and placed on its own website. Customers book in a few steps and receive confirmations and reminders. Staff see a clean daily schedule that stays in step with their personal calendars. For businesses with unusual requirements, such as complex resource rules or links to billing, we extend the system through custom app development.
What to expect
A project like this typically aims to cut phone time, reduce double bookings and make no-shows less frequent through reminders and deposits. It also tends to give the business better information about busy periods and popular services. The size of the benefit depends on how many bookings the business takes, how customers prefer to book and how carefully the cancellation rules are set.
