Challenge

A services company that sells through enquiries, calls and referrals usually tracks leads across inboxes, spreadsheets and chat. Follow-ups depend on memory, nobody can see where a deal stands, and quotes are written from scratch each time. The business wants a system that looks like its own brand, fits the way its team already sells and can be offered to partners or franchisees under their own name.

Our approach

We start with a short discovery to map the sales process: where leads come from, who owns each stage and what a good hand-off looks like. From that we agree on a scope and build in small releases the team can try early.

  • Data model and pipeline. Contacts, companies, leads, deals, activities and tasks, with configurable pipeline stages and lead sources.
  • Capture. Website forms, email and WhatsApp enquiries flow into the pipeline automatically, with duplicate checks.
  • Follow-up automation. Reminders, assignment rules and templated emails or messages so nothing waits unanswered.
  • Quotes and billing hand-off. Quote templates that turn an accepted deal into an invoice request.
  • White-label setup. Custom domain, logo, colours and email sender per tenant, with role-based access so each partner sees only its own data.
  • Delivery. A staging environment for review, data import from existing spreadsheets, user training and a monitored launch.

Solution

The result is a multi-tenant web application built on our CRM & Lead Management System, configured and extended to the client's process. A central dashboard shows the pipeline by stage and owner, and every contact has a single timeline of emails, calls, notes and tasks. Integrations connect the CRM to messaging, email and the accounting tool the team already uses. Where the standard product does not cover a requirement, we add it through our custom website and app development and API solutions work rather than bending the process to fit the tool.

What to expect

A project like this typically aims to give the team one reliable view of every lead and to make follow-up consistent instead of dependent on individuals. Managers can usually spot stalled deals sooner, and onboarding a new salesperson tends to be easier when the process lives in the system. The actual outcome depends on how the team adopts the tool, which is why we include training and a review after launch.
